When to give a receipt

A receipt confirms that you received money. Give one whenever a customer pays you, especially for cash payments, deposits and payments made in person. It protects both sides: the customer has proof they paid, and you have a record that matches the money in your account or cash box.

A receipt is different from an invoice. An invoice asks for payment; a receipt confirms that payment arrived. Many businesses send an invoice first and a receipt once it is paid, while shops and small services often go straight to a receipt.

What to put on a receipt

  • Your business name and contact details, and your tax ID if you have one.
  • The customer's name, if known.
  • A receipt number. The generator numbers receipts on their own sequence (REC-0001, REC-0002…).
  • The payment date.
  • What the payment was for, line by line, with quantities and prices.
  • The amount received, including any tax.
  • How it was paid: cash, card, bank transfer, mobile payment or cheque.
  • The invoice it settles, if there was one, in the notes (for example "Payment of invoice INV-0042").

Receipts for deposits and part payments

For a deposit, describe it clearly ("30% deposit for kitchen renovation") so nobody later mistakes it for full payment. For part payments, one receipt per payment keeps the record simple; the invoice itself can show the running balance through its "amount paid" line.

Keep your copies

Every receipt you download is saved in My invoices on this device, marked as paid. Download a backup from that page now and then, and keep the PDFs with your accounting records. Tax authorities in most countries expect you to keep them for several years.

What is the difference between a receipt and an invoice?

An invoice asks a customer to pay. A receipt confirms the payment was received. The same sale can have both: first the invoice, then the receipt.

Can I make a receipt for a cash payment?

Yes. Write "Cash" as the payment method. Cash receipts are especially important, because they are often the only proof of payment.

Can I add my logo and tax number?

Yes. Click the logo area to add your logo, and type your tax number under your business details. Save it as a template so every receipt starts with them.

Can I send the receipt by WhatsApp?

Yes. Click "Share". On a phone you can send the PDF directly to WhatsApp or any app; on a computer the PDF is downloaded and WhatsApp opens with a ready-made message.
