What a quote is for

A quote tells a client what a job will cost before any work starts. It turns a vague conversation ("roughly how much would it be?") into a clear offer the client can accept, compare or approve with their manager. A good quote prevents most money arguments later, because both sides agreed on the price and the scope in writing.

People use "quote" and "estimate" loosely. As a rule, a quote is a fixed price for a defined job, while an estimate is your best guess for work that may change. If you are not sure the price will hold, call the document an estimate: click the title and rename it.

What to put on a quote

  • Your details and the client's details, so the quote can become an invoice without retyping anything.
  • A quote number and date. The generator numbers quotes separately from invoices (QUO-0001, QUO-0002…).
  • What is included, line by line, with quantities and prices. Be specific: "Website, 5 pages, 2 rounds of changes" leaves less room for surprises than "Website".
  • What is not included, in the notes. Hosting, travel, printing or extra revisions are classic sources of disputes.
  • How long the price is valid. Pick 14, 30 or 60 days and the "valid until" date is filled in for you.
  • Tax, if you charge it, so the client sees the real total.
  • Payment terms and any deposit, in the terms box: for example "30% deposit to start, balance on delivery".

From quote to invoice

When the client accepts, open My invoices and choose Convert to invoice. Everything carries over: client, lines, prices, tax and notes. The invoice gets the next invoice number and today's date, and you can adjust anything that changed before sending it.

Tips that win more jobs

  • Send it fast. A quote sent the same day often wins over a cheaper one sent a week later.
  • Offer options. A basic and a complete version on separate lines lets the client choose instead of comparing you with others.
  • Follow up once. A short, friendly message a few days before the quote expires is normal and appreciated.
  • Keep a copy. Your quote is your reference if the client later asks for more than was agreed.

What is the difference between a quote and an estimate?

A quote is normally a fixed price for a clearly defined job. An estimate is an approximate price for work that may change. Both can be made here; just rename the title to "Estimate" if that fits better.

How long should a quote be valid?

Thirty days is common. Use a shorter period if your own costs change often (materials, exchange rates) and a longer one for big projects that need approval.

Can I turn a quote into an invoice?

Yes. In My invoices, choose "Convert to invoice" next to the quote. All lines and details are copied into a new invoice with the next invoice number.

Is a quote legally binding?

Once a client accepts a quote, it usually becomes part of your agreement, so only quote prices you can honour. Rules differ by country; for large contracts, a written contract is safer.
